Introducing online exams Once you have an idea or a strategy in place, stakeholders on board, and set your foundation of technology to deliver on your hybrid strategy, how will you introduce this new workflow within your organization? Dr. Martin Franzen pinpointed three important factors that helped them. 1. Start small The goal must be high adoption of the tools, which Aalen University has managed in a very short amount of time. The London School of Economics and Political Science (LSE) is a social science focused institution based in the centre of London. The implementation and initial delivery of e-Exams has been organised by a project team based within LSE's Student Services Centre, working collaboratively with the centralised Student Exams Team, departments, and divisions across the School. What results have you seen by using Digiexam? In terms of students using Digiexam, in the 2022/23 academic year: - 135 exams with 6,333 student sittings across 8 departments were delivered as e-Exams during May/June. - This was followed by an August exam period with a further 233 e-Exam sittings. The 2023/24 academic year the School expanded the scale of e-Exams to: - 17 departments totaling in 16 exams with 1013 student sittings that were delivered in January 2024 - 225 exams with 9,623 student sittings delivered as e-Exams during Spring 2024 and further sittings expected in the August exam period. - e-Exam enabled courses now account for around 25% of the School's yearly exams (around 10,000 sittings out of around 40,000). From our markers' perspective, feedback from the 8 original departments with e-Exams (in 2022/23) includes the benefits in that scripts were able to be given to multiple markers at the same time and markers were no longer expected to come to campus to collect or hand over paper exam scripts. In addition to this, there was a reduction in illegible scripts, with 5 out of 8 departments being satisfied with the ability to mark more effectively. In their digital transformation, what do universities need to think about? Moving to digital doesn't have to mean a full transformation – for the time being, we use Digiexam as a replacement for paper answer booklets. We still use paper question papers and mark outside of the software (using the very useful tool to download individual PDFs for circulation). This simpler approach has made it much easier for us to adapt to digital exams. This doesn't mean we've ruled out using Digiexam tools more widely. For our next steps, we are considering the best approaches to putting the exam questions inside Digiexam. Starting on a small scale – the introduction of e-Exams started in LSE's Law School for a few exams in the first year and then increased to more exams within that department the next year before being introduced more widely across the School. The lessons learned from the Law School's pilot were invaluable to scaling up. The majority of LSE's departments now have e-Exam enabled courses. Operational capacity – LSE only currently has e-Exams as in-person invigilated exams with a bring-your-own-device (BYOD) set up. This means that we can flexibly use exam spaces for either paper-based or e-Exams. Planning for all scenarios – introducing more digital technology, especially a bring-your-own-device scenario, adds complexity. It's been important to consider the practical support from staff available to students in exam rooms and to have agreed processes in place to deal with the rare minor technical issues which occur like providing a spare power pack or device to a student or, where necessary, moving to the back-up option of hand-writing an exam. Why should universities digitalize their exam processes? Benefits can be seen across the board for both students and staff. For students, we find that typing is more familiar to them as working digitally is also a method of assessment throughout their studies as part of their coursework and online/take-home exams. For staff, it has massively reduced the issues around the illegibility of student writing and means that digital scripts are available for circulation. Our usage of Digiexam allows us to have the best of both worlds - having the ability to do exams digitally and to do so in a secure environment. What have been the biggest reasons for your success with digital exams? A consistent approach – Digiexam is used the same way for all e-Exams across the University, i.e. with the same settings enabled. This makes it clear for students about what to expect, especially as students may sit exams across different departments at the University. This also simplifies the creation and management of exams by the Exams Team. Lessons learned and continuous feedback – as mentioned above, taking on board the learnings from the Law School. Throughout the project, we also take on any feedback we receive from across the School. Collegiate effort – the introduction of digital assessments has involved support from across all of LSE. For example, our IT support team's work has meant we've been able to access Digiexam using Single Sign On and has ensured that we've had backup devices in place to support students who don't have a suitable device. Department colleagues have also been involved to ensure students receive relevant communications and can attend in-person support sessions ahead of their exams. Working closely with Digiexam – Digiexam has always been excellent at working with us through the process and taking on board our requirements and feedback. The scale of additional support required in exam rooms We introduced a new role for support in our exam rooms. e-Exam Support Assistants (ESAs) are separate from our standard invigilation team, who we still have in place. ESAs are specifically trained to provide support within the exam for any minor technical issues the candidates encounter, including logging into Digiexam at the start of the exam and submitting their work at the end. This includes making use of Digiexam's invigilator role so they have access to the "back end" of Digiexam. How have you managed to expand digital exams across the university? From starting with an initial pilot in the Law School, we expanded e-Exams to include 8 departments in 2022/23 and increased to 17 departments in 2023/24. Initially, we only delivered e-Exams in our main May/June exam period, but we now have courses assessed by e-Exam in all three in-person exam periods. A staggered expansion has meant that with project team support we have been able to provide close support to departments and students new to e-Exams each year, whilst simultaneously developing and improving standardised department and student guidance on e-Exams to be used in the longer-term. For departments in their second year of delivering e-Exams, we have seen student take-up increase as confidence in the platform and processes grows. What was the key reason for choosing Digiexam as your exam platform? Before e-Exams were rolled out across LSE, we had an independent market analysis undertaken where the Law School's experience was vital as they had been using Digiexam for over 2 years by that point. Given the target of rollout for Summer 2023 exams, Digiexam was the best option to meet our timescales and requirements. Why did you search for an online examination tool? When I first started teaching at Crystal Spring there was a big push to utilize the 1:1 device program as much as possible. I had been working to transition to a completely paperless classroom, and wanted a more secure way for my students to complete assessments at home or complete writing pieces outside of the classroom. This desire led me and our technology director, Peter, to begin looking for and evaluating different assessment platforms. Lina Sidenhag, Teacher at Law Department, Umeå University My name is Lina Sidenhag and I work as a lecturer at the Law Department at Umeå University. I am the teacher responsible for the introductory course on the law programme. I have been working here for almost 10 years and I like what I do mostly because I enjoy the interaction with the students but also because of the very open climate we have at our department. The law department here at Umeå University uses a pedagogical method which means that the students work in groups and attend a number of seminars where they are to find the answers to various legal problems. The method is based on the idea that law is best learnt through practicing it rather than just listening or reading about it. The exams are based on the same idea, which means that the students are to solve problems where their answers are assessed not only by whether they use the right law and the right paragraph but also by how they e.g. build their arguments. The time for an exam is six hours and most students make use of that time, which means they write a lot and under time pressure. The answer to each question can be quite long. We've been using Digiexam for five years, and it's almost difficult to remember what the process looked like before that – but it was the traditional pen and paper. Prior to Digiexam, all the students took the exams with pen and paper. We have between 100 and 120 students taking every exam, and it wasn't always easy to read the answers and understand the handwriting. The general feeling was that the grading process became very time consuming because of this. The Law Department was the first department at the University to use Digiexam, and it was within the course that I am responsible for. We have since started using Digiexam for every written exam in the Law Programme. Overall the process of creating the exam is not that different than prior to Digiexam, at least not based on the routines that we have developed. I, as the responsible teacher, create the exam in Digiexam. My fellow teachers send me their questions and I simply copy these into the Digiexam. There are some extra steps compared to creating a paper exam, for example I have to add all students who will write the exam into the system, but it is easy and does not take long. When the exam is written we print the answers out, which means that the grading is not done through Digiexam. The use of Digiexam has especially helped us when reading answers and grading since we no longer have to try to read answers written by hand under time pressure. As mentioned above the answers can be quite long and when written under pressure it is not always easy to understand the handwriting. As we can now read text written on the computer the grading is easier and does not have to take as long as earlier. The students are also very pleased with the possibility to write the exam on their computer. They write for six hours, which can be quite challenging when writing by hand. Since one of the criteria for grading is the ability to make a legal argument the students also find it helpful that they can now edit their text. They have the time to read their answers and think about if the order of their paragraphs is correct. If they're not happy with their answer they can simply move text around. "I am not very good with computers, but even so I find it very easy to use Digiexam. There is no need for anyone to feel that it will be too hard or complicated." — Lina Sidenhag In my opinion the use of Digiexam has helped us regarding those problems. My advice is therefore to go ahead and try it. There are, however, some tips along the way that I can give. First of all it will probably be helpful if you in advance discuss and decide how to divide the responsibilities for the different steps that are required throughout the process. We have found that the work with Digiexam runs smoothly when everybody knows who does what. I also think it's important that the teachers who are going to use Digiexam download the student client and try taking an exam as student, so that they know what the system looks like from the student perspective. At Ystad High School we didn't set out to look for products to compare. We started out by deciding what we wished for in a product, in terms of features, price, scalability, etc. For us, it was important that the platform was hardware independent and non-web-based so we can change computers without altering the exam platform, had collaborative possibilities, was user friendly and had an offline mode. Why did you search for an online examination tool? We experienced a need to digitize mainly because we have been a 1:1 school for a long time. Therefore, the exam situation differed greatly from the rest of the education. At VRG we have a mixed environment with Macbooks, PCs, and Chromebooks. We were one of the first piloting schools to use Digiexam, so it all started in 2012 when we received the beta version, in order to test and give feedback to Digiexam. My first impression was that the program was easy to use and that the students appreciated writing their tests digitally. One feature we helped improve was the annotation system which effortlessly lets you annotate in students' answers. Together with the IT-Directors at VRG, I saw great potential in the platform. As the University continues to pursue a remote assessment strategy for all courses, confidence in the systems we use to support exam integrity is vital. The solution Our service offers a hybrid model, where if a student does not have an appropriate device or place to work from home, they can take their exam on campus. However, the majority choose to take their exams from home. Digiexam has allowed us to satisfy course PSRB requirements through its online proctoring functionality, and ensure parity between those taking their exams on campus and from home. Moreover, we have found the platform highly intuitive and we also have resources to help students install and use the software, however, the majority require little guidance. The staff has also expressed that marking on the system is simple and quick. For some exams, we use Digiexam as a proctoring shell, where the student is invigilated whilst taking their assessment on Moodle. This is usually where there are numerous files involved, and the student may need to use other software such as Microsoft Excel. Other exams take place entirely on Digiexam. What we have found particularly useful is the chat function, where invigilators and students can send messages to each other. If we are suspicious that a student has materials that they should not, we send them a message. If a student has any questions then they can message us. What are your top recommendations to institutions that are thinking of implementing a solution for online examination? Make a practice attempt on the system (even if it involves some unrelated questions) and strongly encourage students to make use of this. This means that any issues that a student might experience during the exam are known, and can be remedied, before their summative assessment. If you are using online proctoring, consult with your organization's legal team early on to put in place the necessary processes. We require that students sign an online consent form for their biometric data to be collected for proctoring purposes, and any students who do not agree to this are invited to campus to be invigilated in-person. We also regularly request for biometric data to be deleted by Digiexam. Some students will not have the appropriate equipment to take their exams online. Have an idea of what you will do for this small number of students (for example inviting them to campus or lending them equipment). How did you handle the procurement for online examination and what are your key tips for other universities? We liaised with the procurement team within our institution so as to make sure all relevant regulations were met during the process. Our advice is to start with a list of everything you need from an online assessment system and be as clear as possible about what this involves. For example, "online invigilation" can mean anything from the occasional photo being taken from the student's webcam to a constant stream from their webcam, screen and microphone.
